A blurry logo on a team shirt, a banner with a white border that was never intended, or a flyer with text cut too close to the edge can hold up an otherwise simple order. Knowing how to prepare print ready artwork helps your project move from approval to production faster, while protecting the quality of your brand across apparel, signs, stickers, and printed marketing materials.
Print-ready does not mean your file merely opens on a screen. It means the artwork is built at the correct size, contains usable images and fonts, accounts for the printing method, and gives the production team clear instructions. A little preparation up front prevents surprise revisions when your deadline is close.
How to Prepare Print Ready Artwork for Your Product
Start with the product, not the file. A design for a business card has different requirements than a full-color shirt graphic, a window decal, or a large outdoor banner. The final size, material, and print process affect how artwork should be set up.
Before designing, confirm the finished dimensions and the print area. For apparel, that might mean a standard left-chest logo, a full-front graphic, or a sleeve print. For signs and paper products, use the actual trim size. Building artwork at the intended dimensions avoids scaling problems later, especially when small text or fine details are involved.
Also consider viewing distance. A small sticker can support detailed type only if it remains legible at arm’s length. A banner seen from across a parking lot needs larger type, stronger contrast, and a simpler message. More detail is not always better. The right amount depends on where and how people will see the finished piece.
Use High-Quality Images at Final Size
Low-resolution images are one of the most common causes of print problems. A logo copied from a website, a screenshot, or a photo pulled from social media may look acceptable on a phone but appear soft, blocky, or pixelated in print.
For photos and raster artwork, aim for 300 pixels per inch at the final printed size. The phrase “at final size” matters. A 300 PPI image that is only two inches wide will not stay sharp if it is enlarged to 10 inches wide. Enlarging an image adds pixels through software, but it cannot restore missing visual detail.
Vector artwork is the preferred option for logos, icons, lettering, and simple illustrations. Vector files use mathematical paths rather than fixed pixels, so they can scale cleanly for a hat logo, trade-show banner, or storefront sign. Common vector formats include AI, EPS, PDF, and SVG, although the best submitted format can depend on the product and production workflow.
If all you have is a small JPEG or PNG, do not assume it can be repaired by increasing the resolution setting. Send it as-is for review and be prepared to provide an original logo file if one is available. Starting with the best source file saves time and produces a cleaner result.
Set Up Color for the Print Process
Screens produce color with light, while printers reproduce color with ink. That is why a bright color on your monitor can look somewhat different on a shirt, sticker, or cardstock piece.
For brochures, business cards, postcards, and other full-color paper projects, CMYK color settings are often the right starting point. CMYK uses cyan, magenta, yellow, and black inks to build the printed image. Colors in RGB, the color mode used by screens, can sometimes shift when converted for print, particularly vivid blues, greens, and neon shades.
For branded colors that need close consistency, use specified spot colors or provide your approved color values. This is especially useful for logos that appear across uniforms, signage, decals, and marketing materials. Exact matches can still vary slightly by material and print method. Ink on coated cardstock, cotton fabric, polyester, and vinyl does not absorb or reflect light the same way.
Apparel printing deserves an extra check. Direct-to-film transfers, screen printing, embroidery, and other garment decoration methods each handle fine detail, gradients, and color differently. A design may need a white underbase on a dark garment, while an intricate illustration could require adjustment to hold detail on textured fabric. When color is critical, approve the artwork proof and discuss the intended garment color before production begins.
Add Bleed and Keep Important Content Safe
Bleed is the extra image area that extends beyond the finished edge of a printed piece. It allows the printer to trim the piece cleanly without leaving an unintended white line around the border.
For most paper products, extend background colors, patterns, and photos past the trim edge. A common bleed allowance is 0.125 inch on each side, but product specifications can vary. If a flyer finishes at 8.5 by 11 inches, the supplied file may need to be 8.75 by 11.25 inches to include bleed.
Just as important is the safe area. Keep names, phone numbers, logos, QR codes, and other essential elements comfortably inside the trim line. Do not place a key message right at the edge simply because it looks balanced on screen. Normal cutting tolerances can make that placement feel crowded or cut it off.
The same principle applies to apparel. Keep artwork away from seams, zippers, pockets, collars, and the edges of the printable area. A centered graphic can look different once a shirt is worn, so placement should suit the garment and the design’s purpose.
Make Fonts, Lines, and Effects Production-Safe
A file may rely on fonts installed on your computer that are not available to the production team. Convert final text to outlines or curves when submitting vector artwork. This turns letters into shapes and prevents unexpected font substitutions. Keep an editable version of the original file for your own records before outlining text.
Review small type carefully. Thin fonts, hairline strokes, and tiny reversed-out text may not reproduce well, especially on fabric, textured paper, or small promotional items. If a message must be read quickly, choose a typeface with enough weight and give it room to breathe.
Effects can also create problems when files are transferred between programs. Drop shadows, transparencies, clipping masks, and blend modes should be flattened or checked in a high-resolution PDF when appropriate. That does not mean every effect must be removed. It means the final exported file should display exactly as intended, without missing elements or altered colors.
For shirt art, remove unwanted background boxes unless they are part of the design. A PNG with a transparent background is often useful for full-color apparel graphics, but transparency alone does not make the image print-ready. It still needs sufficient resolution, clean edges, and a design that works on the selected garment color.
Export the Right File and Name It Clearly
A press-ready PDF is a reliable choice for many signs and paper print projects because it can preserve fonts, vectors, images, and layout in one file. For logos and one-color art, a vector PDF, AI, or EPS file is often best. High-resolution PNG files can work well for certain apparel graphics, particularly when the design includes transparent areas.
Avoid sending a file that has been repeatedly saved as a low-quality JPEG. Compression can introduce artifacts around text and edges. Also avoid placing images into a document without checking whether they are linked properly and embedded at adequate resolution.
Use a file name that makes production details clear. “Westview_Baseball_Front_12in_Wide.pdf” is more useful than “final_final_new2.pdf.” If there are multiple locations or versions, label them plainly: front, back, left chest, sleeve, dark garment, light garment, and so on. Clear filenames reduce back-and-forth and help prevent a correct design from being printed in the wrong location.
Review the Proof Like It Is the Last Chance to Catch an Error
The proof approval stage is where you should slow down, even when the deadline is tight. Read every phone number, web address, date, size, and name. Check the selected garment, ink colors, quantities, print locations, orientation, and finished dimensions. Do not focus only on the overall look. Small factual errors are often more costly than visual ones.
If you have a complex order with uniforms, event signage, stickers, and handouts, compare each proof against one approved brand reference. Confirm that the logo version, color treatment, and messaging are consistent where they need to be. Some variation may be intentional – for example, a one-color shirt print may use a simplified logo – but it should be a deliberate choice.
A Final Preflight Before You Submit
Use this quick check before sending artwork to production:
- The file matches the final product size and intended print location.
- Photos and raster graphics are high resolution at the final print size.
- Logos and type are supplied as vectors whenever possible.
- Colors are set up for the product and print process, with brand references included if needed.
- Bleed and safe margins are included for trimmed paper products and decals.
- Fonts are outlined, backgrounds are intentional, and all text has been proofread.
- The exported file displays correctly, and the filename identifies the version and placement.
A well-prepared file gives your print partner the information needed to produce your order accurately, but you do not have to solve every technical question alone. For an event deadline, a growing uniform program, or a multi-piece brand order, getting artwork reviewed before production can be the fastest way to keep the project moving and make sure the finished pieces look as good in hand as they did in your plan.
